Job Description:

We are seeking a dedicated and organized Administrative Assistant to provide comprehensive administrative support to the Superintendent within the Ohio Conference. The successful candidate will play a pivotal role in facilitating the smooth operation of the Superintendent’s office and ensuring efficient communication and coordination within the education department.

Responsibilities:

1. Provide administrative support to the Superintendent, including managing calendars, scheduling appointments, and organizing meetings and events.

2. Coordinate communication between the Superintendent and internal stakeholders, such as school administrators, faculty, and staff, as well as external partners, parents, and community members.

3. Assist in the preparation and distribution of correspondence, reports, presentations, and other documents as needed.

4. Maintain accurate records and databases related to student enrollment, faculty credentials, curriculum development, and educational resources.

5. Assist in the planning and execution of educational programs, workshops, and professional development opportunities for faculty and staff.

6. Manage office supplies and equipment, including ordering supplies, processing invoices, and coordinating repairs and maintenance.

7. Handle inquiries and requests from parents, students, and visitors in a professional and courteous manner, providing information and assistance as needed.

8. Support special projects and initiatives led by the Superintendent, such as accreditation processes, curriculum, and strategic planning efforts.

9. Uphold confidentiality and discretion in handling sensitive information and matters related to students, faculty, and school operations.

10. Perform other duties and responsibilities as assigned by the Superintendent or administration to contribute to the overall effectiveness and success of the education department and Ohio Conference.

Qualifications:

· High school diploma or equivalent; associate or bachelor's degree preferred.

· Proven experience as an administrative assistant or similar role, preferably in an educational, church, or nonprofit setting.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Gmail, Google Docs, Google Sheets, Google Calendar).

· Excellent organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.

· Strong interpersonal and communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.

· Attention to detail and accuracy in data entry, record-keeping, and document preparation.

· Ability to exercise discretion and maintain confidentiality with sensitive information.

· Flexibility and adaptability to changing priorities and responsibilities.

· Commitment to the mission and values of the Ohio Conference of Seventh-day Adventists and a willingness to support its educational objectives.

3. Position: Hispanic Ministries/Church Planting and Evangelism Director  

Reports to:  President  

Summary:    

As full-time Hispanic Ministries Director/Coordinator, assist the Ohio Conference (OHC) in accomplishing its’ mission to grow healthy, disciple-making churches. Hispanic Ministries Director/Coordinator will be the spiritual leader and advisor of the Hispanic Ministries and lead the conference in Church Planting and Evangelism. 

The Coordinator/Director the Hispanic Ministries will be an assistant the President of the Ohio Conference to attend and manage Hispanic Pastors and Hispanic congregations.  This position ensures the development and implementation of a comprehensive, integrated vision of Hispanic ministry and overall church growth in the Ohio Conference. 

 

Essential Job Functions/Duties

  • (2) engages others in a life of holiness, and  
  • (3) takes the initiative to equip others for His mission and growth of His kingdom that will assist the conference in accomplishing its mission and vision by modeling its’ values.  
  • Meetings

Personnel Committee, Church Planting Committee, Ordination Committee, Hispanic Advisory, NAD Hispanic Advisory and other Hispanic meetings, as needed. 

  • Hispanic Strategies: 
  • Work with President to establish strategic plans and initiatives for Hispanic ministries including, budgets, communication materials, translation for materials, meetings, resources, and conflict resolution. 
  • Consistently and frequently cast the vision and engage Hispanics in the OHC mission. 
  • Coaching: Provide frequently coaching to Hispanic pastors and elders for annual church plans for evangelism, continuing education, leadership development and benchmarks for each congregation. 
  • Administration
  • Assist with vetting and recruiting Hispanic pastors in collaboration with the President. 
  • Consistently apply and follow conference and denominational policies and safeguards the interests of the conference. Assists in resolving local conflicts in applying biblical and “Church Manual” principles. 
  • Provide support to OHC Administration in Hispanic issues/Church Planting/Evangelsim 
  • Growth: Personally create annual spiritual growth and leadership development plans. 

 

 

  • Training: 
  • Establish annual training events that include Hispanic ministries (i.e. camp meeting, evangelism, Elder Retreats, Couples Retreat, Men Retreats etc.), Church planting and Evangelism 
  • Develop and present sermons for camp meetings, weeks of prayer, evangelistic series, church services, dedications and pastors’ meetings 

 

Others Duties and Responsibilities: 

  • Maintain communication with the Hispanic Pastors. 
  • Responsible for compiling statistics on Hispanic growth, baptisms, tithe and mission offerings. 
  • Translate the necessary literature to meet the various needs of the Hispanic constituency. 
  • Manage and keep up with the annual calendar and events. 
  • Oversee development and implementation of a strategic plan for Hispanic ministry. 
  • Manage and update Hispanic pastor's records. 
  • Compile statistical data at least twice a year. 
  • Prepare reports and presentations for the President or the Executive Committee as needed. 
  • Submit twice a year Spanish articles to the Visitor. 
  • Send out letters and emails as needed. 
  • Manage and maintain the Hispanic Ministries web page. 
  • Keep an accurate filing system in physical files as well as digital. 
  • Assure annual office budget for Hispanic Ministry is prepared and implemented in a timely manner. 
  • Honor and maintain confidentiality. 
  • Demonstrate successful ability to plan and organize small and large events. 
  • The coordinator is to model and train pastors and members in evangelism, assimilation and retention of church members.   

 

Leadership 

Responsible for the leadership 

  • Responsible to lead the team to be engaged with the mission, vision, and values of the Ohio Conference, including departmental procedures and policies. 
  • Monitor work performance for compliance with conference mission, vision, values and policies, including but not limited to attendance, punctuality, effective performance, etc. 
  • Work with Conference administrative team if disciplinary actions are needed. 
  • Conduct evaluations per agreement. 

 

Education and Experience 

Four-year college (BA/BS) and a Master required. A proven track record of effective pastoral leadership, judgment, collaboration, growth, learning, and character above reproach. 

 

Credentials/Licenses/Certifications 

  • Ordained Ministerial Credential 
  • Valid documentation to work in the United States 
  • Valid driver’s license
